    March 2, 2023 Webinar Q&A

We are in the healthcare industry, and there are some healthcare provider screenings we are mandated to run so our caregivers can work inside the nursing homes. Does Checkr have the ability to run any of these healthcare-mandated screenings?

    Checkr offers the following screenings:

    • Fraud Abuse Control Information System (FACIS) Level 1: Search databases for records of adverse actions against individuals and entities in the healthcare field. This search meets minimum federal requirements.
    • FACIS Level 3: Search databases for records of adverse actions against individuals and entities in the healthcare field. This search exceeds minimum federal requirements.
    • Professional license verification: Verify that the candidate has an existing professional license that’s active and in good standing.

    More information

In Iowa, we have a background check called SING. When someone has a hit on their background with SING, we are sent a fax with the criminal history. We then have to fill out paperwork for our state with this hit. Previously with GoodHire, they weren't able to accommodate because in IA the state requires this specific form to report to the state. Is Checkr able to accommodate or is this something you haven't heard of previously?

Checkr does not accommodate Iowa SING. We can offer the Iowa iCOURT screening. Please submit a request for more information.

Does everyone on an account/company have to update billing and package info, or is it enough for the company admin to do it?

The admin role has full access to all functionality in the Checkr Dashboard, with no node restrictions. This role can perform all tasks, including the ones below. Limit this role to core members of your team.

    Admins can:

    • Update account settings, including billing information.
    • Add searches.
    • Save packages.
    • Assign all roles to any account user.

    Learn more about user permissions.

Will the person ordering be cc'ed on the email to the candidate?

By default, Checkr sends the invitation only to the Candidate every day for 7 calendar days until the candidate takes an action below:

    • Authorizes the background check.
    • Unsubscribes from the invitation.

Many recruiters and HR professionals want to receive updates on their candidates as they progress through the background check process. Checkr can provide email updates to you on candidates as they progress, letting you keep the candidate workflow efficient and follow up with candidates who may be in statuses like Consider, Suspended, or Expired.

To set up these email updates, go to the Account settings page, then scroll down to the Notifications section.

Though GoodHire we were able to copy a link for a background check and email it to candidates, instead of needing to manually enter information, do we still have that option moving forward?

Yes, users that are able to manage your account Packages can create a background package link, to be entered into a browser and begin the candidate experience at a job fair. This is similar to GoodHire's Custom Ordering Link.

Can the date for the background check to be completed by customized? Or is that a set date?

By default, invitation links expire after 7 days. To change the number of days your candidates have to respond to an invitation, contact Checkr.

How do you customize the email sent to the candidate?

Checkr can assist in editing the following:

    • Welcome message
    • Disclosures
    • Authorizations
    • Adverse Action pages

Please note that Checkr is unable to edit the email invitation that is received by your candidates. Refer to “What does the background check invitation look like?” for details regarding the content of the invitation email.

What happens if the order expires? What’s next? (in reference to drug screening)

If the pass has expired, the “Add more time button” will disappear and the customer should send an updated test pass or re-send a test invitation.

Will current ongoing alerts transfer over or do they need to be set up again?

You will have to re-enroll candidates into ongoing alerts on the Checkr Dashboard.

I have noticed that Checkr does not push emails about the background check status compared to how GoodHire used to. Is this something I can change in my settings so that I can be updated when a background check is completed?

Many recruiters and HR professionals want to receive updates on their candidates as they progress through the background check process. Checkr can provide email updates to you on candidates as they progress, letting you keep the candidate workflow efficient and follow up with candidates who may be in statuses like Consider, Suspended, or Expired.

To set up these email updates, go to the Account settings page, then scroll down to the Notifications section.

Upon expiration of a background check, is your fee refunded and must you then request a new check?

A report is only added to your invoice if it completes as "Clear", "Consider", "Canceled," or "Suspended". If an invitation expires, you will not be charged for that report. Simply send a new invitation out to initiate a new report.

Can you send reminders to the candidate through the portal? Or will it send reminders automatically?

By default, Checkr sends the invitation every day for 7 calendar days until the candidate takes an action below:

    • Authorizes the background check.
    • Unsubscribes from the invitation.

To change the frequency of sending invitations, contact Checkr.

After 7 days, the invitation expires. You can cancel an invitation before it expires.

Do you provide background checks for employees based in Kenya? (international checks)

Yes. Learn more about available international screenings

How do I fix a candidate's email address?

Access the Candidates Report, locate the Candidate's email, and click on Edit.

What happens to my GoodHire account after I migrate to Checkr?

You will have read-only access to your GoodHire account for the foreseeable future following the transition to Checkr. Any changes to the accessibility of your GoodHire account will be communicated to you well in advance.

Do you have the option of sending a background check in Spanish?

Candidates can adjust the language displayed within the background check invitation by scrolling to the bottom of the first page and clicking the language button.

The default language a candidate sees during the background check process is determined by the work location selected during the invitation process. Each background check invitation sent via email will also contain a version in English, which can be viewed by scrolling down through the email invitation itself.

Can you run a background check in multiple states?

Checkr runs a national search as a routine step in background checks. This search queries 2800+ databases and over 900 million records, to cast a wide net and find potential offenses.

Checkr uses hits from this search to determine which county records should be searched for criminal records, including felonies, misdemeanors, and some infractions and traffic records. Checkr also offers state searches. Learn more about state searches.

How do candidates schedule their drug screening?

Candidates can change the location of their scheduled drug/health screen directly in the Candidate Portal:

    • Navigate to the Health screening information section
    • Select Change Location

Will we be able to have access to the drug test form once they consent to the drug test?

Results for drug screenings will be visible on the report and return as negative or non-negative:

    • Negative means the drug screen returned clear.
    • Non-negative means the drug screen returned positive results for one of the drugs on the panel.

Some states, like GA, have required candidates to physically print and sign an authorization form. No electronic signature is allowed. Is that part of Checkr's process?

State laws in Georgia require Checkr to obtain a wet (physical) or digital signature from candidates in order to conduct a background check.

Does the candidate get notified via email of their status progression?

The Candidate will receive an email notification if their report is Complete or if an Exception has occurred.  The Candidate will receive a copy via email if the Candidate opted for that option during the Candidate Apply Flow.

Checkr ETA, which is available in the Candidate Portal, provides an estimate of when your report should be complete. Actual delivery time is not guaranteed.

How can we set up a one-on-one meeting with a Checkr Representative to ask specific questions based on our company's needs? We have reached out a few times, but we haven't received a response.

Our Help Center is always open for business. Visit help.Checkr.com for on-demand answers to many frequently asked questions. You can also submit a request tailored to your business needs and a Checkr Customer Service Representative will respond to you.

When downloading report results, will the state-specific disclosure form along with the e-signature be included?

Upon submission of authorization, generate a PDF of the authorization form and store this PDF on your internal system. On the PDF, store the date/time stamp and store the candidate's IP Address. Learn more about how Checkr manages consent forms.

Candidates that have a dispute on their background were encouraged to contact GoodHire and dispute it. Will this phone number change?

If a candidate believes their report is inaccurate or incomplete, they can:

    • Visit the Candidate Portal to log a dispute
    • Email or call our Candidate Support Team
    • Mail in their dispute with any supporting documents.

Learn more about how candidates can dispute.

Is there anything you need to do to adjudicate a report that comes back as "Consider"?

If any information contained in a candidate’s background check report precludes them from working with your company, it is your obligation to carry out the adverse action process. Although responsibility and liability for the adverse action process ultimately lie with you as the end user, Checkr helps make it easier to maintain a compliant adverse action process.

    Learn more about adverse action.

Can you show what the adverse action process looks like?

A compliant adverse action process for employment decisions will include the following:

    • Pre-adverse action notice: Informs the candidate that you are considering not moving forward with the employment process based on information in the background report.
    • Waiting period: The FCRA requires a reasonable amount of time (usually 7 calendar days, but some jurisdictions require more) before taking final action, so the candidate has an opportunity to dispute any incorrect or outdated information in the report.
    • Adverse action notice (or “post-adverse action notice”): After you wait the required amount of time, including the time required for the resolution of any dispute, you must provide a final notice of your decision if you have decided not to move forward with the candidate.

    Learn more about adverse action.

Can we key in data on behalf of a candidate vs waiting for them to key in their data?

Yes, you can execute a manual order. Learn how to manually order.

What is the average drug screen price?

Please visit https://Checkr.com/pricing. Drug pricing varies based on the number of panels being screened.

I thought I saw where there is no integration with TriNet, what will the process be to work with them both/together?

With this transition, GoodHire’s support for your background check integration will unfortunately end on April 5th, 2023. You are welcome to use the Checkr Dashboard or explore Checkr’s broad ecosystem of pre-built integrations.

I do not have “user” as an option to assign to users, I have only the “limited_user” option, is this a technical issue on my account?

Please reach out to support - they can help troubleshoot your account.

Where can I download the full extensive report?

Select Download PDF directly on the report, and select a file from the menu.

The report order summary includes the information below:

    • Candidate-entered PII
    • Custom report settings
    • Packages and searches associated with the order but not the records
    • Search status

The report PDF is the completed report.

It sounds like we don’t need to have them sign a consent form prior since it is in Checkr - is that correct?

Candidates must consent to be screened before a background check is requested. If you are using Checkr directly through the Dashboard and requesting reports via invitation links sent by Checkr, we will store completed consent forms on your behalf.

Once a candidate e-signs the “Acknowledgement and Authorization for Background Check” form, a PDF version of this document is generated and stored on Checkr’s servers.

Will the policies/service agreements from Goodhire be honored or are customers held accountable to Checkr policies and service agreements?

As part of the migration, you will have an opportunity to click through an agreement and confirm the packages and pricing.

Will the historical checks be available on our Checkr account? If it will remain on GoodHire will we be able to access them permanently?

Customers will have access to historical reports run on GoodHire for two years following their migration to Checkr, but we recommend that customers log in to GoodHire and download copies of their old reports if you need them for archive purposes. You have the ability to export both candidate reports and consent forms within the GoodHire dashboard — individually and in bulk as a zip file.

If we cancel a screening in GoodHire does it cancel in Checkr?

Candidate screening data is not migrating from Goodhire to Checkr. The actions you take in Goodhire will stay in Goodhire.

Can we do invoicing through Checkr vs. CC?

Please visit Payment & Billing for more information on invoicing.

We employ a large population of remote workers, when setting up the check do you select the City based on the employee's location or based on the company office location?

    Learn more about work location.

Are we able to customize the initial message that's sent to candidates, similarly to how GoodHire does now?

No, you are only able to edit the Welcome message, Disclosure, Authorization, and both Adverse Action pages. It is not possible to edit the email that is received by your candidates.

Can you please confirm what the email sent to the candidates will say from Checkr? I know it currently says: “Company name Tickets support@goodhire.com.”

Email invitations will be sent from support@checkr.com

To View a copy of the Invitation please visit: What does the background check invitation look like?

Can I download an extensive background report after completion?

Select Download PDF directly on the report, and select a file from the menu.

The report order summary includes the information below:

    • Candidate-entered PII
    • Custom report settings
    • Packages and searches associated with the order but not the records
    • Search status

The report PDF is the completed report.

Can you show us what the manual order process looks like?

To run manual reports, select the "Manual Report" option on the Candidates Page. Please note, you will need to supply and retain your own consent documents for these candidates.

How do we upload our company logo into the email?

To add your company logo to your account, you must have admin user permissions. Log into the Checkr dashboard and navigate to the Account Settings tab. Scroll to the middle of the page and find the account logo upload box. Once the logo is added, it will reflect on your initial email to the candidate as well as at the top of the candidate apply flow.

Does Checkr provide a "Disclosure and Authorization Form to Obtain Consumer Reports for Employment Purposes" or should the company reach out separately to the candidate for this?

Just like in the invitation link workflow, select a Geo, Program, and/or Package. In addition to the candidate's email address, you'll also add other personally identifiable information (PII) including their name, social security number (SSN), date of birth (DOB), and ZIP code.

At what point are reminder texts sent to candidates if they do not start the background check process?

The candidate will receive a daily email reminder until they've initiated the background check, which is typically 7 days by default.

If there's no location for drug screening near the candidate's residence, do you have third-party service providers?

If the customer (or candidate) is searching a zip code and no locations are returned, that likely means that there are no clinics available in a 60-mile radius that perform the required test. There may be “Out of Network” clinics that are not enabled in the customer account settings available. These clinics are typically more expensive and require customer agreement in place before leveraging these additional locations. If you need to inquire further about available clinics in a particular zip code please contact Checkr Customer Support and we will assist in running a zip code search to identify if alternative locations may be available to your candidate.

What is the difference between GoodHire drug screen testing facilities and Checkr? Do they use the same facilities?

The clinic locations are based on the zip code entered during the candidate apply flow. The results will populate the 3 nearest clinics from the zip code entered.

Can you walk through how the billing process works (relative to the banking information requested during registration)?

    Learn more about Checkr invoices.

Can we select our own Occupational Health providers to show as options? We have a few preferred healthcare providers we always use. Or will it just show all healthcare providers in the area?

The clinic locations are based on the zip code entered during the candidate apply flow. The results will populate the 3 nearest clinics from the zip code entered.

For the payment for Checkr, are we only paying for the packets and not just using the account? Like a subscription?

You are charged for each completed background check plus any applicable fees. You are not charged for simply having an account.

Our account is set up to order background for 2 companies. Can we add both logos and the system pick up the correct logo depending on the company picked at the start of ordering?

Yes, you can utilize Checkr Account Hierarchy to assign unique brands to nodes.
